Best SOP Software: 6 Tools Compared by Use Case
The best SOP software depends on the job you need done. A tool that captures a browser workflow well won't necessarily assign training, and a training platform won't necessarily help your expert get a process out of their head.
So this guide starts with the job. It covers six tools that take different approaches, and it's meant to get you to a short list.
Kommodo publishes this guide and is one of the tools listed. This is a source-checked comparison, not a performance benchmark. Details come from each vendor's own pricing or product pages, checked November 7, 2026.
SOP software compared
| Tool | Best fit | USD pricing, checked November 7, 2026 |
|---|---|---|
| Kommodo | A screen recording and a visual SOP together | Free; Premium $15/user/month or $108/user/year |
| Scribe | Screenshot-based instructions | Free; Pro Personal $25/user/month billed annually; Pro Team $13/user/month billed annually, 5-seat minimum |
| Tango | Capturing software workflows | Free; Pro $22/user/month billed annually for 1–2 users, or $15 for 3+ |
| Trainual | Assigned onboarding and training | Pricing on request (book a demo); $1,000 one-time implementation fee |
| Waybook | A team playbook with training tracking | Core includes 20 seats: $99/month billed annually or $119 month to month |
| Process Street | Running repeatable workflows | Contact sales; 14-day Pro trial |
Annual prices are monthly equivalents where stated, with an annual commitment. A five-seat plan and a twenty-seat bundle aren't directly comparable to one creator seat. Check who needs a paid account before estimating your team's total.
1. Kommodo: for video walkthroughs and visual SOPs
Kommodo fits work that's easier to show than to explain from memory. Record a task with your voice and share both the video and an editable guide with screenshots. You can also use the video-to-SOP tool with a recording you already have.
The two outputs serve different moments. A new teammate can watch the explanation, then return to the written steps when they need a reminder. For example, a support handoff can include the reason for a decision in the video and the actions to take in the guide.
Price: Premium is $15 per user a month or $108 per user a year, equivalent to $9 a month on annual billing. A three-seat annual subscription is $324 before tax. AI-generation allowances are separate from recording access; check the current plan details.
Limits: Free recordings remain accessible for 60 days, and shared Free guides show the first 10 steps. Kommodo isn't a learning management system or a recurring checklist engine. Choose it when the main job is creating and sharing instructions; look at Trainual or Process Street if completion tracking or process execution is the main requirement.
2. Scribe: for screenshot-based instructions
Scribe captures a software workflow and turns it into steps with screenshots. Its Basic plan works in the browser; Pro adds desktop and mobile capture, screenshot editing and redaction, branding, and exports.
It also supports importing an existing video on eligible paid plans. That matters if your team already has recordings: you don't necessarily need to capture the process again. The announced import limit is 30 minutes and 500 MB per video.
Price: Pro Personal is $35 per seat month to month or $25 per seat a month billed annually. Pro Team is $17 month to month or $13 billed annually, with a five-seat minimum. That minimum makes the annual Team commitment $780, even if fewer than five people create documentation.
Limits: Basic doesn't include desktop capture. Price the plan you actually need for exports, redaction and team collaboration. Scribe is worth shortlisting when the main output is a screenshot guide; compare it with Kommodo when keeping the original video alongside the guide matters. See our Scribe alternatives for a broader comparison.
3. Tango: for capturing software workflows
Tango is another option for turning actions in software into instructions. Its Free plan includes browser capture and five shared workflows for a workspace of up to ten users. Pro adds desktop capture, screenshot annotation and blurring, exports, and viewer insights.
Price: With annual billing, Pro is $22 per user a month for one or two users, or $15 per user a month for teams of three or more. Monthly billing is $30 and $20 respectively. Three users on the annual team rate therefore cost $540 a year before tax.
Limits: Free has no version history; Pro keeps 14 days. Each additional Pro user needs a paid seat. In-app guidance, automation and longer history sit on Enterprise, so don't assume the entry price buys those capabilities.
Choose Tango for documented software workflows. Compare the actual output and sharing experience against Scribe and Kommodo using the same task. Our Tango alternatives guide covers other options.
4. Trainual: for assigned training and onboarding
Trainual combines SOPs with a training system. Its published feature list includes onboarding paths, tests, progress tracking, roles and responsibilities. You can write instructions, embed videos, upload documents, and record your screen inside the platform.
That makes it relevant when the question is "Has every new hire completed this?" rather than just "Where are the instructions?" A company onboarding program can combine policies, process walkthroughs and knowledge checks in one place.
Price: Pricing on request (book a demo). Its pricing FAQ states that a one-time $1,000 implementation fee applies. Include that fee in the first-year budget and confirm the subscription, seat count and rollout scope with sales.
Limits: Trainual says it best suits companies with 25–1,000 employees; that is its stated fit, not a published minimum seat requirement. If you only need to send a colleague a visual SOP, assess whether a full training rollout is necessary. If assigned learning and reporting are requirements, those capabilities may justify the extra setup.
5. Waybook: for a team playbook and training tracking
Waybook organizes company knowledge into subjects, documents and steps. Its Core plan includes revision history, learning paths, tests and completion tracking. Waybook Shots is also listed on Core, so it shouldn't be treated as a text-only wiki.
The fit is a maintained employee handbook or onboarding playbook: people need a place to find procedures, and managers need to see progress through assigned material.
Price: Core includes 20 seats for $99 a month billed annually, or $119 month to month. The annual base is $1,188. Additional seats cost $5 per member a month on annual billing or $6 month to month. A seven-day trial is advertised.
Limits: The base bundle may be more than a very small team needs. SSO is listed on Pro, so include security requirements when choosing a plan. Compare Waybook when the library and training tracking matter most; compare a recording-led tool when making the first visual explanation is the bottleneck.
6. Process Street: for recurring workflows and approvals
Process Street turns procedures into workflows people run. Its plans list forms, conditional logic and workflow runs, with approvals on Pro. Instead of only explaining how to onboard a client, a workflow can collect information and move the work through its required stages.
Price: The public pricing page directs buyers to sales. A 14-day Pro trial is available without a credit card. Get a quote for the people creating and running workflows, plus the features and usage your process needs.
Limits: Building a workflow is a different task from capturing a walkthrough. You'll need to decide the fields, rules and handoffs; a video alone doesn't define those. If your immediate problem is undocumented software knowledge, a capture tool may be a simpler start. If the procedure is documented but people still miss approvals or handoffs, workflow execution is the more relevant capability to test.
What to check before you buy
- Who writes the first draft? Pick a tool your experts will actually use during a busy week.
- Where does the SOP live? Check whether people can find it from the tools they already use.
- Does it handle more than a browser? Check the exact plan's browser and desktop support.
- How will you keep it current? Look at version history and at how much work an update takes. Check whether the history covers the period your team needs.
- What do viewers need? Check whether teammates need a paid seat to view or edit. Separate creator, editor and reader costs in your budget.
- What does security review require? Check the required plan for SSO, access controls and exports.
A simple way to run a trial
Take one real process that causes questions today, such as a support handoff or a monthly report. Ask the person who does it to document it in each tool you're testing. Then give each result to someone who's never done the task.
Whichever result lets that person finish without asking for help is your strongest candidate. If you'd like a format to compare against, start with our free process documentation template.
SOP software FAQ
What is SOP software?
SOP software helps a team create, store, update and share standard operating procedures. Some tools focus on capturing steps, while others focus on training or on running a process.
What is the best SOP software for a small team?
Start with how the knowledge exists today. If an expert can show the task on screen, a capture or recording tool is usually the quickest start. If you need assigned training and tracking, look at a training platform.
Can you make an SOP from a video?
Yes. Kommodo can generate a step-by-step guide from a screen recording, and a person should then review the steps before the team relies on them.
